Construct thought provoking and cutting edge conference programs based on industry research and needs identified by our attending Delegates across multiple events, to attract and retain a senior level audience. Industries include: Finance, Human Resources, Logistics & Supply Chain, Marketing and Technology.

Job Description
Main responsibilities and duties of the position:

  • Understand the Richmond Events model, appointment system and style of conference program - covering a wide range of topics across different industries, at a senior, strategic level
  • Industry research and telephone or face-to-face interviews with attendees to understand needs and create a cutting edge program to fill that need
  • Secure an impressive line-up of thought provoking and recognized speakers to attract and retain a senior level Delegate audience
  • Work with Project Manager and Delegate Mangers to adhere to strict event timelines for preliminary agendas, final program and event coordination
  • Manage and adhere to conference budgets
  • Work with speakers from time of confirming them through to the actual event, organize and collect all speaker materials and forms from PPT presentations to audio-visual needs, session descriptions and speaker bios etc. for inclusion on event website, promotional materials and event catalogs
  • Work with Technical Manager & IT to coordinate speaker needs and set up at the event venue
  • Keep the website updated with current conference program and speaker information
  • In the lead up to the event, enter all speaker and session information on the Richmatch system ready for Delegate selections, timing the program accordingly
  • Prepare session evaluation forms and attendee lists for onsite
  • Gather event feedback, share information with speakers and prepare event summary of feedback for use in company newsletters and post-forum reviews

Physical requirements:
  • Ability to work on a computer up to 100% of the time
  • Ability to talk (on phones, in meetings or with colleagues) up to 85% of the time
  • Ability to work multiple long work days (length of events, and immediate preceding and succeeding activity), which can be up to 6 consecutive days of over 15 hours each day
  • Ability to lift and move materials weighing up to 75 pounds including (but not limited to) boxes of printed materials, office or event equipment, luggage and assorted other event production items

Operations Coordinator / Administrative Assistant – Richmond Events Inc.


Assist Project Manager with administrative support and achieve mutually agreeable Delegate targets for event. Industries include, but not limited to: Marketing, Human Resources and Finance.

Job Description
Main responsibilities and duties of the position:

  • Full understanding and ability to communicate the event appointment process and crunch, as well as qualification & invitation process for Delegates
  • Database cleaning and entering, research/sourcing of new contacts/prospects
  • Manage and track invitations sent, Delegate requests and waiting lists – e-mail and phone
  • Understanding the needs and objectives of Delegates, matching the benefits of the event to meet those needs – feeding information to Sales Managers, Conference Manager and PM
  • Delegate Retention - ensuring all confirmed Delegates are kept informed and enthusiastic about their attendance, responding to any questions as needed
  • Organize and manage general event documents, selection manuals, timelines etc.
  • Customize and prepare marketing materials using programs such as Adobe Illustrator and Photoshop
  • Prepare and send mail merges, e-mail blasts and hard copy mailings – general correspondence, newsletters, invitations etc.
  • Coordinate/update online questionnaires and selections for attendees, liaising with IT
  • Collect information due from attendees, answer incoming inquiries
  • Website and social media maintenance
  • Assistance with conference production and coordination
  • Prepare event materials for onsite
  • Post-event: gather event feedback and statistics from research report, prepare post-forum review, update website and materials with new testimonials etc
Physical requirements:
  • Ability to work on a computer up to 100% of the time
  • Ability to work multiple long work days (up to 6 consecutive days of over 15 hours each day)
  • Ability to talk (on phones, in meetings or with colleagues) up to 85% of the time
  • Ability to produce mass mailings including putting materials into envelopes, sealing and affixing postage in mass quantities of up to 2,500 pieces of mail at one time
  • Ability to lift and move materials weighing up to 75 pounds including (but not limited to) mail bins, boxes of printed material, office or event equipment, office furniture, luggage and assorted other event production items.
